Privacy: who is responsible

Sabai System HK Limited is responsible for the personal data described below (the “controller” under the GDPR, the “data user” under Hong Kong’s Personal Data (Privacy) Ordinance). For any question or request about your data, write to contact@sabaisystem.com.

What we collect, why, and for how long

  1. Visit statistics (Google Analytics 4). Pages viewed, buttons clicked, device, browser, approximate location, and where you came from. Purpose: to see which pages help visitors. In the EU, the EEA, the UK and Switzerland, cookies are set only with your consent; if you decline, Google Analytics receives a visit signal without cookies, which we use only to count visits (our legitimate interest). Elsewhere it runs with cookies, on the basis of our legitimate interest. Advertising features are off. Google Analytics keeps visitor-level data for 14 months, the longest it allows, and within the 25 months the CNIL accepts. Aggregated statistics (visits per page, per month, per source), which identify no one, are kept with no time limit.
  2. Hosting and security (Cloudflare). Your IP address, browser, the page requested and the time, which every web server receives. Purpose: to deliver the site and protect it from attacks. Legal basis: our legitimate interest in a working, secure site. The request logs we can read are deleted after 7 days at most; Cloudflare’s own security logs follow its privacy policy. Cloudflare Web Analytics counts page views without cookies.
  3. Booking a call (Cal.com). Your name, email, the time you pick and anything you write in the form. The calendar loads only when you open it. Purpose: to arrange and hold the call. Legal basis: steps you ask us to take before a possible contract. Name and email are needed to book. We keep this for up to 3 years after our last contact with you, unless you become a client.
  4. Feedback on a page (Discord and Linear). Only if you use “Help us improve this website” at the bottom of a page: your comment, your name if you give one, the page and the part of it you picked, your screen width, and a picture of that part of the page. It is sent to a private channel of ours on Discord and becomes a task in Linear, the tool we plan our work in. Purpose: to fix and improve the site. Legal basis: our legitimate interest in a site that works, for a comment you chose to send. We delete it within 12 months.
  5. Emails you send us. Your address and your message. Purpose: to answer you. Legal basis: our legitimate interest, or steps before a contract. We keep them for up to 3 years after our last contact with you, unless you become a client.
  6. Clients. If you become a client, your contact details and our exchanges are kept for the length of the contract, then for 7 years, the period Hong Kong law requires for business records (Companies Ordinance and Inland Revenue Ordinance).

Cookies and browser storage

You can give or withdraw consent at any time with “Cookie settings” at the bottom of every page. Withdrawing doesn’t affect what was collected before.

  1. _ga and _ga_<id>: Google Analytics, to tell visits apart. 13 months at most, not extended by later visits. In Europe, only if you accept.
  2. sabai-consent: your answer to the cookie banner, kept in your browser’s storage, never sent to us. It stays until you change it or clear your browser data.
  3. lang: the language you picked in the language menu, so the homepage opens in it when you come back. A year, renewed when you pick again; no consent is asked, it only serves your choice.
  4. feedback:name and feedback:on: if you use “Help us improve this website”, the name you typed and whether the feedback button is shown, kept in your browser’s storage so you don’t type it again. They stay until you clear your browser data.
  5. Cal.com may set its own cookies when you open the calendar; see its privacy policy.

Who receives it

Only the providers above, each for the purpose given: Google (Google Ireland Limited for visitors in Europe, Google LLC elsewhere), Cloudflare, Inc., Cal.com, Inc., Discord Inc. and Linear Orbit. Each acts under its own privacy policy: Google, Cloudflare, Cal.com, Discord, Linear. Our email is hosted by Google Workspace.

We don’t sell your data, share it with advertisers, or use it to make automated decisions about you.

Transfers outside Europe

Google, Cloudflare, Cal.com, Discord and Linear are based in the United States. Transfers from the EU, the UK and Switzerland to them rely on the EU–US Data Privacy Framework and its UK and Swiss extensions, or on the European Commission’s standard contractual clauses. Sabai System HK Limited is in Hong Kong: what you send us (an email, a booking, a comment) reaches us there so that we can answer you.

Your rights

Write to contact@sabaisystem.com. We answer within one month. We may ask you to prove who you are. You can:

  1. See the data we hold about you, and get a copy.
  2. Have it corrected or completed.
  3. Have it deleted.
  4. Limit how we use it, or object to a use based on our legitimate interest.
  5. Receive the data you gave us in a common format, to pass it to someone else.
  6. Withdraw your consent at any time, through “Cookie settings” or by email.

Complaints

If you think we have mishandled your data, you can complain to the data protection authority where you live or work: in France, the CNIL; in Hong Kong, the Privacy Commissioner for Personal Data. Writing to us first is often quicker.
