A global luxury wines and spirits group came to us with two problems that share one answer. On a quality problem, where did every bottle of a lot go? In the field, is this bottle being sold where it was meant to be? We built the portal that answers both, in seconds.
What was in place
In a luxury house the bottle is the promise. A quality problem must be contained precisely and quietly. A bottle sold outside its market weakens the selective distribution every maison depends on.
The group already recorded every movement of every bottle, from the production line to its final destination. But the data was read through a report, one code at a time: slow on the day it matters, costly to query, and with no record of who had searched what.
The objectives
- Quality traceability: on a quality problem, find every bottle of a lot in seconds, where it went and who holds it, so a recall can be run precisely.
- Commercial traceability: find the bottles sold outside the market they were meant for.
- Governance: keep a history of every search, and of the lots and bottles that raised an issue, within the group’s privacy rules.
What we did
Quality search. A lot number, or its prefix for repacked products, returns every bottle, case and pallet it produced, where each went, and who to contact. Results export in the columns the quality teams already use.
Commercial check. Field teams paste or import hundreds of bottle codes with the country where each was found. The portal compares it with each bottle’s intended market and flags every mismatch.
A record. Every search and its result is kept and can be exported. A dashboard shows how the portal is used and how many bottles were found in the wrong country.
Privacy. Who holds a bottle is shown only to the people the group’s privacy policy allows, as agreed with its data protection officer.
The result
Both questions now have an answer in seconds. On a quality alert, the group knows where every bottle of a lot went before it decides what to do. In the field, a team checks a whole list of bottles against their markets in one search. More than two hundred quality and control experts in twenty-three markets work from the same portal, launched eleven weeks after kick-off, on time and on budget.
